Privacy policy

This policy explains what personal information Harlow Roofing Co. ("Harlow", "we", "us") collects when you use this website, call us, request an inspection or have work done on your home, how we use it, and the choices you have. It applies to harlowroofing.example and to the paperwork we produce for your job.

1. Who we are

Harlow Roofing Co. is a family-run roofing contractor based at 118 Tanner Road, Ashford. For any question about this policy or your information, contact us at hello@harlowroofing.example , on (406) 555-0142, or by post to the address above, marked for the attention of the office manager.

2. What we collect

Information you give us

Inspection requests: your name, phone number, email address (optional), ZIP code, the reason for your request and your preferred appointment slot.

Phone calls, emails and texts: the details you share with us about your home and your roof, and your contact details.

Quotes and contracts: your property address, billing details, the work agreed and any insurance claim number you choose to give us.

Information we create while working on your home

Photos and notes of your roof, attic, gutters and the outside of your property, taken during inspections and building work.

Job records: inspection reports, written scopes, daily build log messages, invoices, warranty certificates and permit records.

Information collected by this website

This website does not use cookies, analytics, advertising tags or third-party tracking scripts, and its fonts are served from our own server. Our web host keeps standard server logs (IP address, browser type, the page requested and the time) for security and to diagnose faults. These logs are kept for no more than 30 days.

3. How we use your information

To contact you about your request, confirm and schedule appointments and send you reports, quotes and build updates.

To carry out the work you ask for, order materials to your address and apply for permits.

To invoice you, take payment and keep the accounting records the law requires.

To honour your workmanship warranty, which depends on the photos and records from your job.

To support an insurance claim, but only when you ask us to.

To keep our website secure and working.

We do not sell your personal information, share it for cross-context behavioural advertising, or use it to send marketing you did not ask for. We will not call you to follow up on an inspection unless you ask us to.

4. Photos of your home

Photos are the backbone of how we work, and they belong in your job file. We may use photos of completed roofs on this website or in our project pages only with your written permission, and we never publish your house number, your name or anything taken inside your home. You can withdraw permission at any time and we will remove the photos from the website within 14 days.

5. Who we share it with

We share only what is needed, only with:

Your insurer and their adjuster, when you ask us to support a claim.

Material suppliers and delivery drivers, who need your address and delivery instructions.

Your town's building department, for permits and inspections.

Service providers who help us run the business (for example our accounting software, payment processor, email and text messaging providers and web host), under agreements that limit their use of your information to providing that service.

Manufacturers, to register a material warranty in your name.

Authorities, where the law requires it, or to protect the safety of our crew or others.

6. How long we keep it

Inspection requests that do not go ahead: deleted 24 months after the last contact.

Job records and photos: kept for the length of your workmanship warranty plus one year, because they are the evidence the warranty relies on. For a 25-year warranty that is 26 years.

Financial records: kept for as long as tax law requires, usually seven years.

Website server logs: no more than 30 days.

7. How we protect it

Job files are stored in password-protected systems with two-step sign-in, accessible only to office staff and the foreman on your job. Paper records are kept in a locked office at the yard. No method of storage is perfectly secure, and if we ever learn of a breach that affects your information we will tell you and the relevant authorities as the law requires.

8. Your choices and rights

You can ask us at any time to:

tell you what personal information we hold about you and give you a copy;

correct anything that is wrong;

delete your information, unless we need to keep it for your warranty, a legal obligation or an open claim;

stop using your photos on our website.

Depending on the state you live in, you may have additional rights under state privacy law. We will not treat you differently for using any of them. To make a request, email or call us. We will confirm who you are before acting on it and reply within 30 days.

9. Children

Our services are for homeowners and property managers. We do not knowingly collect information from anyone under 16.

10. Changes to this policy

If we change how we use your information, we will update this page and the date below. If the change is significant and we have your email address, we will also let you know directly.
